We do not collect any payment information, location data beyond your IP address, or use your email for marketing purposes. We do not knowingly collect the following categories of information through our platform: biometric information, sensory data (e.g., audio or video recordings), background or criminal history, sensitive demographic attributes such as race or health-related information or other sensitive personal information.

How We Use Your Personal Data

We use the personal data we collect for the following purposes:

We analyze your demographic information, partner preferences, satisfaction ratings, and open-ended feedback to:

o    Hosting & Infrastructure: Our web host (e.g. AWS or your website builder’s servers) processes IP addresses, User-Agent strings, session identifiers, and essential cookies to keep the Site online and secure.

o    Form & Email Services: Third-party providers that store your quiz responses and send one-time administrative emails (e.g. SendGrid, Mailgun).

o    Security & Anti-Fraud: Vendors that help us detect and block malicious traffic or abuse.

2.      Professional Advisors

o    Legal, Accounting, and Audit: As required, to obtain advice on compliance, taxes, or investigations, under strict confidentiality obligations.

3.      Compliance & Enforcement

o    Government, Regulators, or Law Enforcement: When we believe disclosure is necessary to comply with legal process (e.g. subpoenas) or to protect our rights, safety, or property, or that of our users.

4.      Business Transfers

o    In the event SquadMatch (or its assets related to the Site) is merged, acquired, or sold, we may transfer your personal data to the acquiring party or successor organization, provided they agree to respect the terms of this Privacy Policy.

5.      Aggregated or De-identified Data

o    We may share anonymized or aggregated insights (e.g. overall quiz statistics) with partners or investors; such data cannot reasonably be used to identify any individual.

We do not sell or rent your personal information to advertisers or any third-party marketers. Any sharing of your data is limited to the purposes described above and governed by confidentiality and security commitments.

Do Not Track

Some web browsers and other tools offer a “Do Not Track” (DNT) signal you can enable to tell websites you do not want your browsing activity tracked across sites.
Our response to DNT signals:

  • We do not honor or respond to browser DNT signals.
  • We only use essential cookies necessary for site functionality and basic analytics that do not create user profiles or support behavioral advertising.
  • Because we do not perform cross-site tracking, changing your DNT setting will not affect your experience on this site.

If we ever change this practice and begin honoring DNT signals, we will update the Effective Date at the top of this policy and notify users here.

Your Rights & Choices

2. Deletion

·         What you can do: Ask us to delete your personal data (subject to legal exceptions, e.g., data needed to comply with a legal obligation).

·         How to exercise: Email hello@squad-match.com with “Data Deletion Request.” Once verified, we will delete your data within 30 days.

3. Withdrawal of Consent

·         If you change your mind about sharing your survey responses, you may withdraw consent at any time by emailing us at hello@squad-match.com.Withdrawal will not affect data processed prior to your request.

4. Email & Marketing Choices

·         We do not send marketing emails. For any one-time follow-ups, you may opt out by replying “Unsubscribe” or contacting hello@squad-match.com. We will honour your request within 10 business days.

5. Cookie & Tracking Controls

·         You can disable or block essential cookies only at the browser level; doing so may prevent the form from functioning correctly.

·         We do not honour “Do Not Track” signals—see our “Do Not Track” section above.

Your State Privacy Rights

Children’s Privacy (COPPA)

Our Site is not intended for children under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age.

·         No Under-18 Access: We require all users to be at least 18 years old. Our Terms of Use make clear that minors are prohibited from using the Site.

·         No Intentional Collection: We do not seek or permit users under 18 to submit their name, email, or any other personal data.

·         Data Removal: If we become aware that we have inadvertently collected personal information from someone under 18, we will promptly delete that information from our records.

·         Parental Questions: If you believe we might have any data from a minor under 18, please contact us immediately at hello@squad-match.com, and we will remove it without delay.

By using this Site, you represent that you are 18 years of age or older.

We do not direct the Site to, nor do we knowingly collect personal information from, children under 13 years of age as defined by the U.S. Children’s Online Privacy Protection Act (“COPPA”). If you are a parent or guardian and believe we have inadvertently collected personal information from a child under 13, please contact us at privacy@squad-match.com. We will promptly delete such information in accordance with COPPA.

Security Measures

We take reasonable technical and organizational measures to protect your personal data from unauthorized access, disclosure, alteration, and destruction. These measures include:

·         Encrypted Transmission: All data transmitted between your browser and our Site is encrypted using HTTPS/TLS.

·         Secure Hosting: The Site is built and hosted on Webflow’s infrastructure, which maintains industry-standard security controls (firewalls, intrusion detection, DDoS mitigation) and regularly undergoes vulnerability assessments.

·         Access Controls: Access to your data is restricted to authorized personnel only, protected by strong passwords and, where supported, multi-factor authentication.

·         Data Backup & Recovery: Webflow performs routine backups of Site content and customer data; in the event of an incident, backups enable rapid restoration of service.

·         Platform Updates: We rely on Webflow’s platform updates and security patches to ensure the underlying software remains current and protected against known vulnerabilities.

·         Internal Policies: We enforce policies and procedures (employee training, least-privilege access) designed to maintain the confidentiality and integrity of personal information.

While no system can be 100% secure, we continuously monitor and improve our security practices to safeguard your data.

Data Retention

We keep Personal Information only for as long as it is reasonably necessary to fulfil the purposes described in this Notice or to comply with our legal obligations. Specifically:

How to Appeal a Denied Privacy Request

If we refuse to act on all or part of your privacy request, you may submit an appeal within 45 days of receiving our decision:

1.      E-mail hello@squad-match.comwith the subject line “Privacy Request Appeal” and include your original request ID.

2.      A senior member of our privacy team—who was not involved in the original decision—will review the appeal.

3.      We will respond in writing within 45 days (or 60 days where reasonably necessary, with notice to you).

4.      If we again decline your request, our reply will include a brief written explanation and, if required by your state law, a link to file a complaint with your state Attorney General.

 

How We Verify Your Identity

To protect your information, we must reasonably verify that you are the person (or an authorised agent) making the request.

  • Accurate Header Information: “From,” “To,” “Reply-To,” and routing information will accurately identify SquadMatch as the sender.
  • Subject Lines: Clearly and honestly reflect the content of the message (e.g., “Squad-Match Quiz Follow-Up”).
  • No False or Misleading Content: We never use deceptive or fraudulent statements in our emails.

  • Opt-Out Mechanism: If you receive a one-time follow-up email and do not wish to receive any further communications, you may reply with “Unsubscribe” or click the provided “Unsubscribe” link. We will process your opt-out request within 10 business days.

We do not send marketing or promotional emails without your explicit opt-in consent.

How Will You Know if This Privacy Notice Changes?

We may update this Privacy Notice periodically to reflect changes in our practices, technologies, legal obligations, or for other operational reasons. When we do, we will revise the “Last Updated” date at the top of the Notice.
